Screen Prints with the Print Screen Key Short-cut and Toggle Keys

Screen Prints with the Print Screen Key:

For us Techies, we also find that pictures speak louder than words, so screen prints are the easiest way to capture a picture of your entire screen or a picture of the Window that is open.

<Examples:>
1. Entire Screen

To capture the entire screen hit the Print Screen button on your keyboard. This is generally located to the right of the F12 key. Then open Notepad, Word Pad or Microsoftsoft Word and Paste the picture you just captured into the document. The short-cut key is the control key plus the letter v or choose Edit then Paste from the drop-down menus.

2. Active Window

You can also capture any window that is open. To do this you first have to ensure that the window you want to capture is the active window. If you have ten windows open, the computer needs to know which window you want to capture so you have to make your window the center of attention or active. You can do this simply by putting your cursor anywhere in on the window and clicking once. In the above example, if you’re not careful, you may accidentally click on one of the links which will take you to a different webpage or you may accidentally click on a button which will open a different window. So make sure you left-click on the white space or the frame of the of the window (I usually click on the blue bar at the top) so that you don’t change the appearance of the window you want to capture. Then open a document and paste (Ctrl+V) your captured window into the document.

There are many programs out there that will do this entire process for you and also help you organize and arrange your screen prints. I recommend Snagit which you can buy from Techsmith for $39.95.

  Short-cut and Toggle Keys:

Learning the different short-cut and toggle keys (Ctrl key, Alt key, Microsoft key and Shift key) can help save those extra seconds when you’re trying to meet a deadline. Here are some examples:

1. Alt + Tab – This is very handy for switching between programs and files. Try it. Open two or three files, maybe two Word files and an Excel file. Hold down the Alt key and press the Tab key once. A small dialog box opens. The file that you are currently on is highlighted. Keep the Alt key down. Press the Tab key again. Now another file is highlighted. Let loose of the Alt key and you are immediately taken to the file that you chose. Play around with it. It takes a little getting use to, but you’ll find it’s definitely faster than using the mouse to switch between files.

2.

Windows key + M
- This switch minimizes everything on your computer so you can immediately go and view the desktop. If you have many programs and files open and then you realize you need to open a file or program that is located on your desktop just press the Windows key + M. The Windows key is located on the bottom left side of your keyboard beside the Alt key. It's the key with the Microsoft symbol on it. Older keyboards don't have this key, so if you don't have it, sorry, your out of luck.

3.

Shift + Windows key + M
- This will do exactly the opposite of Windows key + M. This toggle key maximizes all of your Windows.

Try both of them. Then try them together with the Alt + Tab toggle switch. Once you get the hang of it you'll begin saving those precious seconds right before the boss walks in and asks for the report!
